Key Categories for Organizing Emails


Emails are typically organized into categories including Awaiting response, Inbox, Sent, Scheduled, Stared, Drafts, Email templates, Archive, and Trash. These categories help streamline communication, making it easier to locate, prioritize, and manage messages effectively.

Inbox 

This is the central hub where all incoming emails arrive. Often prioritized for messages that need immediate attention.

Information Displayed in the Inbox List:

The inbox list showcases essential details about each email, making it easy to identify and manage messages efficiently.

Element

Description

Sender’s Name and Profile Picture

Displays the name of the sender along with their profile picture.  

Subject and Preview Text

Shows the email subject followed by a snippet of the email content.

Date and Time

Indicates when the email was received, with the most recent emails displayed at the top.

Deal Icon

Shows if the email is associated with a deal.

Attachment Icon

Indicates if the email contains attachments, allowing for viewing or downloading attached files.


Read/Unread Status

Displays whether the email has been read or remains unread, with visual markers to distinguish the status.

Checkboxes

Enables selecting multiple emails for performing bulk actions.


Bulk Actions:

In the inbox, when you select multiple emails for bulk actions, options like ArchiveMark As, and Delete appear at the top of the screen. These actions allow you to quickly organize and manage multiple emails in one go, saving time by processing several messages simultaneously.

  1. Archive moves selected emails out of the Inbox and places them in the Archive section, keeping your Inbox organized while ensuring the emails are retained for future reference.
  1. Mark As lets you tag emails with specific statuses like ReadUnreadStarred, or Unstarred. This makes it easier to prioritize and track emails by setting them apart based on urgency or importance.

  1. Delete emails, moving them to the Trash folder, where they can be restored if needed before final deletion.


In addition, the 
Filter Options in the right-top corner enhance email management by allowing you to quickly organize and filter emails based on specific criteria:

Conversation Drawer: Manage Emails, Contacts, and Deals

The Conversation Drawer provides a unified space to view and manage email threads, associated contacts, and deals.


  1. Click on any email in the list to open the conversation drawer.

The subject will appear at the top, followed by sender and recipient details, and the date and time. The body of the email will be displayed as below.




  1. To view related contacts, click the information icon (i). You can expand each contact to add or view details, activities, or profiles.


  1. For unrecognized contacts, expand the label to add a new contact or link to an existing one.

  1. Below the contacts, check for any linked deals. If none, click Link to a Deal to create a New Deal or link to Existing Deal.

  1. Click New Deal to open the Add Deal form.
  2. Click Existing Deal to display the deal details, and you can also add related activities to the deal if necessary.

  1. Choose your desired action, such as replying, replying to all, forwarding, or deleting the email. If there are attachments, download them as needed.




  1. If email tracking is enabled, monitor recipient engagement by viewing email opens, link clicks, and timestamps for these actions.


Awaiting Response

The Awaiting Response section shows you the emails you have yet to respond to.

After you’ve read an email from the Pending Replies section, you can either click Mark as Done, Reply, Forward or Delete it. Once an action is taken, the conversation will disappear from this folder and will only be available in the Inbox going forward.

When you select multiple emails in the Awaiting Response folder, bulk actions will appear at the top of the screen such as Mark as Done and Delete.

  1. Mark as Done: This option helps you mark multiple conversations as completed, indicating no further action is required.

  2. Delete: You can delete multiple conversations at once, which moves them to the Trash folder for possible recovery before final deletion.

You can delete individual conversations by clicking the ellipsis icon next to the conversation.


Sent

The Sent folder displays all emails you have sent. It allows you to review your outgoing messages, track replies, and maintain a record of past communications.

In the Sent folder, when you select multiple emails, bulk action options like Archive and Delete appear at the top of the screen. These options help you efficiently manage your sent emails:

  1. Archive: Moves selected emails out of the Sent folder, keeping the conversations stored in the Archive section for future reference.

  2. Delete: Moves selected emails to the Trash folder, where they can be restored if needed before permanent deletion.

You can also delete individual emails by clicking the ellipsis icon next to each conversation, providing precise control over which emails to remove.

Filter options offer default filters to help refine your view, making it easy to find sent emails based on specific criteria such as Opened, Clicked, Linked with a deal, Linked with an open deal, Not linked with a deal, and with attachments.


Scheduled

The Scheduled folder displays emails set to be sent at a later time, allowing you to review and manage upcoming emails before they are sent.

In the Scheduled folder, selecting multiple emails reveals bulk action options like Cancel Send, and Delete:

  1. Cancel Send: Stops the selected emails from being sent, moving them out of the scheduled queue.

  2. Delete: Removes selected emails from the scheduled list, moving them to the Trash, where they can be recovered if needed before permanent deletion.

You can also delete individual scheduled emails by clicking the ellipsis icon next to each email, giving you precise control over which emails to remove.

In the top-right corner, the Filter Options provide predefined filters:
  1. Includes filters such as Linked with a Deal, Linked with an Open Deal, Not Linked with a Deal, and With Attachments, enabling you to refine the view based on email status or content.


Starred

The Starred folder stores emails marked as important, making it easy to find and prioritize essential messages. In the Starred folder, selecting multiple emails reveals bulk action options such as:

  1. Remove Starred: Removes the starred status from selected emails, returning them to their default state.

  2. Archive: Moves selected emails to the Archive, keeping them accessible without cluttering your inbox.

  3. Mark As: Allows you to tag emails with specific statuses like Read, Unread, Starred, or Unstarred, making it easier to prioritize and track emails based on urgency or importance.

  4. Delete: Moves selected emails to the Trash, where they can be recovered if needed before permanent deletion.


Drafts

The Drafts folder contains emails that are automatically saved when you close the compose tab without sending them, allowing you to resume or edit them later. In the Drafts folder, selecting multiple emails reveals bulk action options such as:

  1. Discard Draft: Permanently remove selected drafts, clearing them from the Drafts folder.

  2. Delete: Moves selected drafts to the Trash, where they can be recovered if needed before permanent deletion.


Email Templates

Access all your saved email templates through a convenient dropdown menu. Templates are organized into folders, making it easy to locate and manage them based on your preferences.

Organize your templates by creating folders. To do so:

  1. Click the New Folder button, which opens a folder to enter the folder details.
  2. In the folder, enter a Folder Name and click Add to create the new folder.

  1. Click the drop-down menu beside the folder name to access additional options:

  1. Edit: Modify the folder name if necessary. 

  2. Folder Visibility: Set the visibility of the folder to control who can view it. This option is useful for teams or shared accounts.


  1. Delete: Remove the folder and templates completely.

  1. To create a new email template within an existing folder:
  1. Click the +Create Email Template button within the folder.


  1. This will open a form where you can enter the template’s Name, tags, SubjectContent, Formatting Options, Use Placeholders, and Add Attachments.


  1. After filling out the template details, click Save to add the template to the folder.
  1. If you need to manage multiple templates at once, you can use the bulk actions:
  1. Move To: Select one or more templates and click the Move To button to transfer them to a different folder. This is helpful for re-organizing or grouping templates by purpose.


  1. Delete: If you want to delete multiple templates, use the Delete option. The selected templates will be deleted permanently.
  1. Each email template includes performance metrics to help you track how effective your templates are:

  1. Sent: The percentage of times the template has been sent out.
  2. Opened: The percentage of recipients who have opened the email after it was sent.
  3. Clicked: The percentage of recipients who clicked on any links within the email, such as call-to-action buttons or hyperlinks.
  4. Replied: The percentage of recipients who replied to the email, indicating engagement.
  5. Unsubscribed: The percentage of recipients who unsubscribed from your emails after receiving the template.
  1. On the right side of each template, you’ll find several action icons that allow you to manage your templates with ease:

  1. Duplicate: If you want to create a similar template based on an existing one, click Duplicate. This creates a copy of the template, and you can edit the content as needed without starting from scratch.

  2. Edit: Click the Edit icon to open the template in edit mode. You can make changes to the name, content, subject, or tags as needed.

  3. Delete: Use the Delete option to permanently remove the template from the list.
  1. At the top-left helps you to efficiently locate and organize templates, you can apply the following filters:

  1. All Email Templates: Displays every template in the system, including those you’ve created and those shared with you.

  2. Created by Me: Filter templates are to show only those you have personally created.

  3. Shared with Me: Shows templates other users have shared with you, ideal for collaborative use.
    Shared folders will display a user profile icon along with the folder name.
    Hovering over, to see the username of the person who shared the template, making it easier to identify the source of the template.


Archive

The Archive section stores emails that you no longer need in your primary inbox but want to keep for future reference.

When you select multiple emails in the Archive folder, bulk actions will appear at the top of the screen, such as:

  1. Unarchive: Move selected emails back to your Inbox.

  2. Mark as: Mark emails as read, unread, archived, or unarchived.

  3. Delete: Delete selected emails, moving them to the Trash folder for possible recovery before final deletion.

To manage individual emails in Archive, click the ellipsis icon next to a conversation for options to Reply ToForward, or Delete.


Trash

The Trash section stores emails that you've deleted but haven't permanently removed. Emails in Trash can be recovered or permanently deleted based on your preference.

Once in the Trash folder, you can select one or multiple emails and perform the following bulk actions, available at the top of the screen:

  1. Restore: Move selected emails back to the Inbox or their original folder, making them accessible again.

  2. Delete Forever: Permanently delete selected emails, which removes them from Trash with no option for recovery.

To manage individual emails, click the ellipsis icon next to the conversation for options to restore or delete permanently.
