Managing Products with Bulk Actions

Bulk Action

The bulk action feature offers several options to streamline processes, including Add To DealAssign OwnerUpdate FieldDelete, and Export. These options allow you to efficiently manage multiple items at once, reducing the time spent on repetitive tasks and enhancing overall productivity in CRM management.


Add To Deal

Bulk-adding products to a deal streamline the process by handling multiple products at once, which saves time and reduces the risk of errors. It ensures consistency in product details and pricing, facilitates quicker updates, and improves overall efficiency in deal management.



  1. In the product list view, select the products you wish to add to a deal.
  2. Click Add To Deal in the toolbar to open the Add Products to Deal drawer.

Notes
Note: The drawer displays the Deal Name, Contact Person, Company, and Currency. The Contact Person and Company fields are non-editable and auto-populated with the associated names when adding a deal.

     3.   Display the default currency, with an option to select from a list of active currencies.
     4.   The table below outlines the key terms used in the form for configuring tax settings and displaying item details.

Description

Tax Inclusive

A switch to include tax in the calculations or opt for no tax

No Tax

Indicates the absence of tax in calculations

Item

Represents the name or description of the product or service listed

Price

The cost per unit of the item

Quantity

The number of units for the item

Tax

A column showing tax details, which is omitted if tax is not applied

Discount

Any applicable reduction in the price

Amount

The total value is calculated based on price, quantity, and discount

 

  1. Click +Add More to open a dropdown with a search bar. Use the search bar to select or add products. 
  2. After selecting products, the total amount, subtotal, and tax (if applicable) will be displayed. Click Save to finalize and add the products to the deal. 


Assign Owner

Assigning owners to several products simultaneously provides clear accountability, saves time, and minimizes errors. This approach streamlines management and enhances coordination, resulting in more efficient product oversight.

  1. Access the product list and select the products to assign an owner.
  2. Select the checkbox next to the product for bulk actions and choose Assign Owner.
  3. Select the desired user from the list of available owners.
  4. Click Save to confirm and apply ownership to the selected products.


Update Field

Updating bulk fields involves modifying specific attributes or data points for multiple items simultaneously within a system or database. By selecting multiple items and applying changes to designated fields in one action, you can ensure consistency, enhance accuracy, and save time compared to updating each item individually.

  1. Access the product list and select the products you wish to update.
  2. Select the checkbox next to the products for bulk actions and choose Update Fields. It will open the Update Field drawer.
  3. In the Select Field dropdown list, choose the field you want to update. The drop-down list displays only the editable system and custom fields.  
  4. If no field is selected, clicking +Add More Fields or Save will show a validation message. Once a field is selected, the corresponding Value field will be enabled for input; otherwise, it remains greyed out.
  5.  Review your changes and click Save to apply the new values to the selected products.


NotesNote: A validation message will appear if a field is designated as required after the product is created and the user tries to update any other field.


Delete

Multi-item deletion is the process of removing multiple records from a system or database in one operation, streamlining data cleanup, and simplifying dataset management.

  1. Access the product list view where the records you want to delete are located.



  1. Select the records you want to delete by using the checkboxes next to each one.
  2. Select Delete from the list of actions at the top of the screen. 



It will open the confirmation popup and ask Are you sure you want to delete the selected products?

  1. Review the details to ensure you are deleting the correct records, then click Delete to confirm the action.



NotesNote: After deleting the products, they will be moved to the Recycle Bin, where they will be retained for 90 days.


Export


Exporting bulk products entails transferring a large number of product records from a system to a single file, such as CSV, XLS, or XLSX. This file can then be used for offline access, analysis, or collaboration with other systems and applications. 



  1. Select the product checkboxes for the items you want to export.
  2. Click Export from the toolbar to open the export popup drawer.
  3. From the export popup drawer, choose the file format you need, such as XLSX, XLS, or CSV.
  4. Click Export to initiate the download process.
    Once the export is complete, a download option will appear.
  5. Click Download to retrieve the exported file and save it to your device.
