Streamlining Contact Management with Bulk Actions

What are bulk actions, and how do they help in managing multiple records efficiently?

Bulk actions allow you to perform operations on multiple records simultaneously, saving time by applying actions to several records at once. This feature is especially useful for managing large datasets and reducing repetitive tasks.


Update Field

Bulk editing allows for rapid updates across multiple contacts, ensuring consistency and reducing errors. It saves time by eliminating the need to edit each contact individually and maintains uniform data, which is crucial for accurate reporting and streamlined operations.

  1. Access the contact list view and check the boxes beside the contacts you want to edit.
  2. Click the Update Field in the toolbar. It will open the Update Field drawer.

  1. Click on the dropdown list under the Select Field drawer. Choose the field you want to update from the available system and custom fields.

  1. Fields marked with an asterisk must have values provided. Non-required fields can be saved with no value, which removes the existing value.
  2. All contact fields will be displayed in the dropdown except for the auto-generating fields.
  3. If no value is selected and you try to click Add More Field or Save, a red validation line will be displayed. Also, if a required field is marked after contact creation and you try to update other fields, a validation message will be shown.
  4. After entering the new value, click Save to apply the changes.


Delete

Bulk deleting helps in quickly removing outdated or duplicate contacts, improving the overall quality of your contact list. It simplifies the cleanup process, ensuring that only relevant and current contacts remain.

  1. Access the contact list tab. Check the boxes beside the contacts you want to delete.
  2. Click the Delete button in the toolbar.

  1. Confirm the deletion in the dialog box, deleted contacts will be moved to the Recycle Bin



Send Email

Bulk emailing is the process of sending the same email message to multiple contacts at once. This feature is crucial for efficiently reaching a broad audience with consistent information. Bulk emailing saves time by eliminating the need to compose individual emails and ensures that the message is delivered uniformly to all selected recipients.

  1. In the contact list view and select the contacts by checking their boxes.
  2. Click the Send Email option in the toolbar. It will open the compose mail window.



  1. After opening the compose window, the TO field will display a summary of selected contacts, such as Count of Recipients. 
  2. Clicking the TO field opens a drawer on the left side of the screen, showing the complete list of selected contacts.


  1. Search bar allows searching for contacts by name or email address with a minimum of two characters.
  2. Search results display contact names and email addresses. If an email is missing, it shows an Invalid Email Address.
  3. The Personalize Mail feature allows you to edit and personalize content for specific contacts. Personalized contacts appear grayed out in the TO field.
  4. After personalizing, the TO field shows the total number of recipients and indicates if any contacts were personalized. The edit icon next to those contacts will be grayed out, meaning their details can’t be modified from the TO field.
  5. To modify personalized details, you would need to reopen the drawer to edit them.

  1. Removing contacts by clicking the remove icon deletes a contact from the recipient list.
  2. Besides the email usage count, you’ll find options to:
  1. Bin Icon: Located beside the email usage count. Clicking this permanently deletes the unsent email from the draft folder. 
  1. Minimize Icon: Reduces the compose tab to a smaller window at the bottom of the interface. Clicking the expand icon restores it to its normal size.
  1. Remove Icon: Closes the tab or window, saving the content as a draft for later use.

  1. You can compose your email or select a pre-made template.
  2. Review and click Send Separately to distribute the email to all selected contacts individually.
  3. Next to the Send Separately option, click the drop-down to show the Schedule Mail option, which allows you to schedule the emails to be sent at a specific time.


  1. You can track emails by selecting the Track Emails checkbox and attaching files if needed.


  1. Next to the attachment, the ellipsis icon offers options to:

  1. Link to Contact: Displays the conversation on the contact's detailed page.
  1. Link to Deal: Displays the conversation on the associated deal's detailed page.
  1. Add Unsubscribe Link: Add an unsubscribe link to the email. If the recipient clicks it, a confirmation pop-up appears when sending the email, allowing the user to confirm sending by clicking Yes.



NotesNote: You can send emails to a maximum of 100 recipients per day. This count applies even if the user has synced multiple email addresses.



Add Activity

Bulk-adding activities refer to logging the same type of interaction or task for multiple contacts simultaneously. This is useful for documenting actions like follow-up calls, meetings, or tasks that apply to a group of contacts. By bulk-adding activities, you streamline your workflow, ensuring that every contact receives the same attention and that all necessary tasks are recorded systematically. This consistency helps in tracking interactions and maintaining an organized schedule.

  1. In the contact list view and check the boxes next to the contacts you wish to add an activity for.
  2. Click the Add Activity button in the toolbar.
             

     3.    Choose the activity Title, Type, Date and Time, Availability, Reminder, Priority, Sales Owner, Collaborators, Private Note, and fill in the additional details.
     4.    Click Save to log the activity for all selected contacts.


Assign Owner

Bulk assigning an owner helps in distributing responsibility efficiently across a team, ensuring that contacts are managed by the appropriate individuals.

  1. Access the contact list view and select the contacts to assign an owner by checking their boxes.
  2. Click the Assign Owner option in the toolbar. It will open the Assign Owner window.


  1. Choose the new owner from the dropdown list.
  2. Click Save to assign the selected owner to all chosen contacts.



Add/Remove Tags

Bulk tagging or untagging allows you to categorize or recategorize your contacts, enhancing your ability to filter and manage them according to specific attributes.

  1. Access the contact list view and check the boxes next to the contacts you want to tag or untag.
  2. Click the Add Tags/Remove Tags button through the ellipsis icon.


                          
                   
                 3.   Select the tags to add or remove from the list.
                 4.   Click Save/Remove to update the tags or remove the tags for all selected contacts.





Export Contacts

Bulk exporting contacts is useful for creating backups, preparing reports, or transferring contact information to other systems.

  1. Access the contact list view and select the contacts to export by checking their boxes.
  2. Click the Export button through the ellipsis icon.


3.  Choose the desired export format, such as XLSX, XLS, or CSV.
4.  Click Export to download the selected contacts.
